These Terms & Conditions apply to all bookings, services and media supplied by Estate Media Co.

By booking or using our services, you agree to the terms outlined below. It is the responsibility of the real estate agent or agency to ensure their clients are aware of these Terms & Conditions where relevant.

1. General Terms

All pricing is based on a single visit per property unless otherwise stated.

Packages cannot be split over separate days unless otherwise agreed in writing.

Any return visit will incur a $220.00 call-out fee, plus the cost of any additional services required.

Properties must be fully prepared and shoot-ready before our team arrives. If a property is not ready, this may result in delays, reduced quality of final media, additional fees or the need for a return visit.

If no agent, owner or authorised representative is present at the property, the property will be photographed or filmed “as is”. Final angle selection and media capture will be completed at the discretion of Estate Media Co.

Minor item removal and basic retouching may be included for photography only, however all unwanted items should be removed prior to our arrival.

If a specific creative style or brief is required, this must be provided at least two days prior to the booking so that our team can prepare accordingly.

Custom packages are available upon request.

2. Bookings & Scheduling

Bookings must be made through the Estate Media Co online ordering system unless otherwise agreed.

We accept no responsibility for missed bookings made through SMS, verbal requests or other informal channels, as these may be missed.

A confirmation email or calendar invite will be sent once a booking is confirmed. Please ensure all booking details, including the property address, date, time and selected package, are correct.

If a booking needs to be rescheduled, please use the reschedule option provided through the booking system where available, or contact us ASAP please.

If the wrong package is booked, Estate Media Co reserves the right to upgrade the booking to match the requested services and charge the correct price.

The photographer, videographer or media team may complete the job before or after the allocated booking time depending on the requirements of the property and services booked.

If our team is required to stay onsite longer than the allotted time, excess time will be charged at $250.00 per hour, per person.

Picking up keys from an office incurs a $50.00 fee. Please use a key lockbox if you are not able to attend the property for when we arrive.

3. Property Preparation

The property to decluttered and ready to shoot before our arrival.

Any furniture rearranging, cleaning, styling or decluttering must be completed by the agent/owner prior to the scheduled booking time. Waiting time may incur a surcharge.

Please ensure all areas required for photography, floorplans, video or drone are accessible.

If the property is not ready and a return visit is required, a call-out fee and additional service charges may apply.

4. Cancellation Policy

Cancellation fees apply based on the amount of notice provided.

Cancellations made 4–8 hours prior to the booking will incur a fee of 50% of the package price.

Cancellations made 1–4 hours prior to the booking will incur a fee of 75% of the package price.

Cancellations made within 1 hour of the booking will incur a fee of 100% of the package price.

In the event of rain or unsuitable weather, rescheduling may be offered. If the shoot proceeds and is cancelled once our team is already onsite, a call-out fee may apply for any return visit.

5. Photography

Photography is typically delivered between 9:00 AM and 12.00PM, the following business day, pending the amount of excess in-house retouching is required during the QC process.

Additional images requested after delivery may be charged at the published rate.

Excessive artistic direction, repeated reshooting of angles or requests that cause the shoot to exceed the allocated time may incur additional charges.

Excessive Photoshop or retouching requests may incur a surcharge.

Final image selection may be completed at the discretion of Estate Media Co where no agent or representative is present.

6. Floorplans

Floorplans are supplied for marketing purposes only and are not legal documents.

Floorplans are typically delivered by 10:00 AM the following business day.

All measurements are approximate.

Additional dwellings or structures, including granny flats, guest accommodation, machinery sheds, stable complexes, barns or similar infrastructure, may incur additional fees.

Site plans are approximate in layout and should not be relied upon as land surveys. Excessive amendments to plans may incur additional fees.

7. Property Video

Creative direction is at the discretion of Estate Media Co unless a specific creative brief has been supplied and agreed to prior to the booking.

Long-form videos are typically delivered within 2–3 business days, depending on the level of editing required.

One video revision is included in the price, excluding 30sec reels/videos. Additional revisions may incur further fees.

Videos cannot be Photoshopped. Please remove all unwanted items before filming takes place.

Videos are delivered in MP4 format, H.264, in either portrait or landscape format depending on the booked service. Alternate formats must be requested at the time of booking and may incur a surcharge.

Estate Media Co may use completed videos for promotional purposes.

8. Drone & UAV Services

Safety is always the priority when operating drones or UAV equipment.

The drone pilot may cancel, postpone or reschedule drone work due to unsafe conditions, weather, airspace restrictions or operational concerns.

CASA regulations override all agent, vendor or client requests.

Agents and vendors are responsible for notifying neighbours of upcoming drone usage where appropriate. Failure to do so may result in complaints or upset neighbours.

Drone footage supplied by other pilots for our use must be captured by a CASA-licensed pilot.

9. Packaged Bookings

Packages cannot be split over multiple visits unless otherwise stated.

Package inclusions cannot be altered. If additional services are required, please let us know or add them to the booking.

Packages may be completed by one or more staff members depending on the services booked.

Packages may be completed before the allotted time.

Each package has a maximum allotted time. Please ensure you understand the package inclusions and that the property is ready before our team arrives.

If the wrong package is ordered and additional onsite time is required, a return visit may incur a call-out fee and additional charges.

Custom packages are available upon request.

10. Payment Terms

Payment is due within 14 days of the invoice date for approved client accounts.

Overdue accounts may incur the following:

2.0% monthly default interest, calculated daily
5% monthly account-keeping fee
Suspension of services after 15 days
Recovery costs, including legal and collection fees

Estate Media Co reserves the right to withhold media until full payment has been received.

11. Copyright & Media Usage

All intellectual property remains the property of Estate Media Co.

A limited licence is granted for the purpose of marketing the listed property only.

Media may not be transferred, sold, reused or provided to another agent, agency, vendor, buyer or third party without written permission from Estate Media Co.

On-selling of media by an agent or vendor after the sale of a property is prohibited.

Re-licensing media outside the original sales licence is available at an additional cost.

Estate Media Co accepts no liability for third-party use, unauthorised use or post-delivery modifications of supplied media.

Unauthorised use of media may result in legal action.

Estate Media Co may use completed media for promotional, portfolio, website, social media or marketing purposes.

12. Membership Participation

Our memberships are designed to reward positive, ongoing partnerships between Estate Media Co and our clients. Membership applications and renewals are reviewed individually and may be accepted or declined based on availability, service capacity, account history and suitability for the program.

Estate Media Co reserves the right to approve, decline, suspend, cancel or refuse to renew a membership where reasonably necessary. This may include circumstances where membership benefits are being misused, payments remain outstanding, these Terms and Conditions are breached, a member behaves inappropriately toward our staff, or continuing the membership is no longer reasonably practical or commercially sustainable.

Where possible, we will communicate with the member and provide reasonable notice before suspending, cancelling or making a significant change to their membership.

Memberships Are Not Transferable

Memberships, credits, discounts and benefits apply only to the approved member, agency, office or account named in the membership agreement.

Membership benefits cannot be sold, transferred, shared or used by another business, branch, office or third party without prior written approval from Estate Media Co.

Service and Booking Availability

Membership does not guarantee the availability of a particular photographer, videographer, appointment time or service.

All bookings remain subject to staff availability, service area, travel requirements, weather conditions and Estate Media Co’s standard booking, cancellation and rescheduling terms.

Changes to the Membership Program

Estate Media Co may reasonably update membership pricing, benefits, credit rates, eligibility requirements, service inclusions or program conditions from time to time.

Where a change materially affects an existing paid membership, we will provide reasonable notice before the change takes effect. Changes will not affect services already completed or confirmed bookings unless otherwise agreed.

Membership Renewal

Membership renewal is not automatically guaranteed unless expressly stated in the membership agreement.

Estate Media Co may review each membership before renewal and may choose not to offer a further membership period based on service capacity, payment history, account activity, program availability or other reasonable business considerations.

Suspension or Cancellation

Estate Media Co may suspend or cancel a membership where a member:

fails to pay an amount when due;
misuses membership discounts, credits or benefits;
provides false or misleading information;
shares benefits with an unauthorised person, office or business;
repeatedly cancels, reschedules or disrupts bookings;
acts abusively, threateningly or unreasonably toward our staff;
breaches these Terms and Conditions; or
uses the membership in a way that negatively affects our business, staff or other clients.

Suspension or cancellation does not remove the member’s responsibility to pay for services already supplied, completed or booked under the applicable cancellation policy.

Credits Following Cancellation or Expiry

When a membership is cancelled, suspended or expires:

credits already applied to a confirmed booking will remain subject to the applicable booking and cancellation terms;
promotional, complimentary or bonus credits may be cancelled or forfeited;
purchased credits will be managed in accordance with their original purchase terms and applicable law;
credits cannot be transferred to another account without written approval; and
credits are not redeemable or exchangeable for cash.

Any unused prepaid membership fees will be managed in accordance with these Terms and Conditions and any rights that apply under Australian Consumer Law.

13. Changes to Pricing & Terms

Pricing may change at any time.

Estate Media Co reserves the right to update these Terms & Conditions as required.

The version published on our website at the time of booking will apply to the services booked.
